Configure mail management applications

The correct configuration of mail applications (Outlook, Thunderbird, iPhone, etc.) is important to ensure that you can access them simultaneously via the webmail interface and multiple mail management applications. We will synchronize the applications with each other so that users will always have access to all their mail whatever device they are using at any given time.

Incoming Mail Server

  • User: [full email]
  • Password: [set by administrator or changed by user]
  • Incoming server (IMAP): mail.sooma.com
  • Encryption: STARTTLS (identified as TLS in Outlook)
  • Port: 143

Outgoing Mail Server

  • Outgoing Server (SMTP): mail.sooma.com
  • Encryption: STARTTLS (identified as TLS in Outlook)
  • Port: 587
  • Authenticated: Yes, with the same credentials as the receiving server.

The STARTTLS protocol tolerates older mail applications that do not have the encryption capability and in these cases automatically allows communication without encryption. If you wish to allow only encrypted communication, in the encryption type you should choose SSL over STARTTLS and indicate different ports (respectively, 993 for IMAP and 465 for SMTP). There is no functional difference between the two encryption methods other than SSL does not allow silent fallback for unencrypted connections.

Configuring mail applications with the IMAP protocol (receiving server) described above ensures the best service by allowing perfect synchronization of your mailbox between all devices and having it backed up in the cloud. However, the POP3 protocol, although not recommended, is also available.

If you prefer access via POP3, the configuration of the reception server is different:

  • Receiving server (POP3): mail.sooma.com
  • Encryption: STARTTLS (identified as TLS in Outlook)
  • Port: 110

Or, if you want to allow only encrypted connections:

  • Incoming server (POP3): mail.sooma.com
  • Encryption: SSL
  • Port: 995

Please ensure that the ports required for the service to work properly are unblocked on the equipment (router/firewall) protecting the internal network:
Ports for the IMAP receiving server: 143 (STARTTLS/TLS) and 993 (SSL)
Ports for the POP3 receiving server: 110 (STARTTLS/TLS) and 995 (SSL)
Ports for the SMTP sending server: 587 (STARTTLS/TLS) and 465 (SSL)

Configuration of mail applications using the POP3 protocol is available if the service administrator has enabled this service when creating the mailbox (by default access via POP3 is disabled). Please note that the administrator may have chosen to give different access permissions to different users or user groups.
