Migrating an Email Service via IMAP

1. Preparing the migration (Client administrator)

To copy existing content on a source mail service that supports the IMAP protocol the service administrator on the client must start the onboarding process by performing the following steps (if you prefer you can ask support assistants to monitor the migration):

  1. Create the domain
  2. On the domain page click on“migration sync” to access the migration setup area similar to the following example:
  3. Enter the IMAP server that is the one of the source service followed by “:143”
  4. Click on “enable sync”
  5. Insert the users via “mass create users” with a cvs list with just the addresses or one by one (important: create the users here and not via the normal process because only this process creates users without associated password)

2. Release the migration (Users)

All users must authenticate in https:mail.sooma.com with the users and passwords existing in the source platform. It is up to the client administrator to inform all other users that the mail service is migrating to a new operator and that they should immediately start using a new webmail interface and new settings for the mail management applications.

The migration will start for all users who successfully authenticate (you will know that authentication went well because you will be able to log in to the webmail interface and immediately start seeing messages being copied from the source platform to the new service).

At any time you can ask the support assistants to indicate which users have not authenticated and for which the migration has not been started. For the latter users a different procedure (to be agreed) will be needed to force the start of the migration.

3. Finalize the migration (Domain Manager)

When all the contents are already replicated on the new platform, it is time to disclose to the Internet as a whole that the new messages should be delivered on the new platform. This disclosure is done by changing some pointers in the domain DNS.

Delete all the MX and TXT records that the domain DNS displays and add the following:

[DOMAIN].         3600 IN MX 10 smtpin1.smail.eu.
[DOMAIN].         3600 IN MX 20 smtpin2.smail.eu.
[DOMINIO].         3600 IN TXT "v=spf1 redirect=_spfh.smail.eu"
Note: replace [DOMINIO] with the domain under management

Note: You cannot delete messages on the Sooma service while content migration is in progress (messages deleted in Sooma will be imported again from the origin server).
