Create a mailbox

  1. In the administration console, open the domain (Domains > your domain).
  2. Click New user.
  3. Fill in the form:
    • Email — the part before the @ and the domain.
    • Password — initial password. It must have at least 8 characters, upper and lower case, a digit and a non-alphanumeric character.
    • Active — Active for the mailbox to work immediately.
    • Force password change — with Yes, the user must change the password on first sign-in. Recommended.
    • Administration privileges — usually None. See Quotas and permissions.
    • Groups — groups the user belongs to.
    • Quota — the mailbox plan (5 GB, 50 GB, 100 GB, 200 GB, depending on the products available on the domain).
    • Webmail enabled and POP3 enabled — allowed access.
    • Recovery contacts — recovery email and phone, used when the user forgets the password.
  4. Click New to create it.

Give the user the address and initial password through a channel other than email (phone, SMS, in person). See First access.

To create many mailboxes at once, use Mass create on the domain page, with a list of addresses.

Change a mailbox

Open Users, choose the user and click Edit. You can change all the fields above, including setting a new password when the user has forgotten it.

Disable or delete

  • Disable (Active = Inactive) blocks access and delivery but keeps the messages. It is the right option when someone leaves the company and the mailbox may still need to be consulted, or while deciding what to do with the mail.
  • Delete (Delete) removes the mailbox and all its content. It cannot be undone.

When someone leaves the company

Before deleting the mailbox, consider creating an alias with the old address delivering to a colleague's mailbox, so that client messages are not lost. See also Forwarding messages.
