Distribution lists and shared accounts¶
An alias is an address with no mailbox of its own: messages sent to it are delivered into other mailboxes. It is used for addresses such as sales@company.com, billing@company.com or info@company.com.
Create an alias¶
- In the administration console, open the domain and click New alias.
- In Alias address, type the address.
- Active — Active.
- Tag subject — with Tag subject with alias address, the subject of incoming messages carries the alias address, which helps recipients see which address the message came through.
- Maildrop — who to deliver to:
- List of addresses defined below — the addresses you enter under Maildrop addresses (they can be external).
- All emails in the same domain as the alias — every mailbox in the domain.
- Groups defined below — the members of the groups chosen under Maildrop groups.
- All emails in the same group as the alias.
- Allowed senders — who can write to the alias:
- Anyone — anyone, including outsiders. This is normal for public addresses.
- Email list — only the addresses listed under Email list.
- The recipients of the alias — only its own members. Useful for internal lists.
- Click New.
Examples¶
| Address | Maildrop | Allowed senders |
|---|---|---|
| sales@company.com | list: the three salespeople | Anyone |
| everyone@company.com | every mailbox in the domain | The recipients of the alias |
| management@company.com | Management group | Anyone |
Send as the alias¶
For members to also reply from the alias address, each of them needs an identity with that address. Ask support to create it if it does not appear under the user's Preferences > Identities. See Identities and aliases.
Shared mailbox or alias?
With an alias, each person receives a copy in their own mailbox. If several people need to work the same mailbox (with the same read status and folders), create a normal mailbox and share the credentials in a controlled way, or talk to support about the best solution.
