Mailbox full / quota exceeded¶
When the mailbox reaches the plan's maximum size, it stops accepting new messages: anyone writing to you receives a bounce with an error such as Mailbox full or Quota exceeded. You may also be unable to save sent messages.
See how much space is used¶
In webmail, under Preferences > Folders, the percentage used appears at the bottom of the folder list.
Free up space¶
- Empty Deleted Items and Spam: under Preferences > Folders, select the folder and click Empty.
- Delete large messages: search for messages with attachments (see Search), especially in Sent, and delete those you do not need. Then empty Deleted Items.
- Keep your history outside the mailbox: old messages you want to keep can be exported to your computer. See Back up old mail.
POP3 and copies on the server
If you use an app in POP3 set to "leave a copy on the server", everything it downloads still takes up space. Prefer IMAP.
Increase the quota¶
If the mailbox needs more space permanently, ask your company's service administrator to change the mailbox plan (for example from 5 GB to 50 GB). The administrator can also receive automatic warnings when mailboxes reach 90 % and 95 %. See Quotas and permissions.
